Microsoft Exchange Licensing

The Microsoft Exchange system is licensed in multiple ways both from the server and client perspectives. The following information is provided to ensure the licensing situation for Exchange is understood.

Server

ACNS has procured the necessary licensing for the servers running Active Directory and Microsoft Exchange services.


Client

Client Software

Microsoft Outlook (PC or Mac) clients must be licensed by the end user in order to make the connection between these software packages and Exchange. If your department participates in the Campus Agreement with Microsoft, you may already be licensed for the Microsoft Office suite including the Outlook program. Outlook may also be purchased on a per-user basis through the RamTech.

Client Access Licenses

Two Client Access Licenses (CALs) are required for each user who connects to a Microsoft Exchange server mailbox, regardless of the method by which the access is made (Outlook, IMAP (Thunderbird,Eudora), mobile device, or Outlook Web Access).

The two required CALs are: Exchange Standard CAL 2010 and Windows Server 2012 User CAL.

ACNS periodically analyzes who on our campus is utilizing the Exchange system, and we ensure that we have enough Exchange CALs to cover everyone using the system (via a combination of counting the number of Exchange users covered under the Campus Agreement "Core CAL" and by ACNS purchasing enough Exchange Standard CALs via the Microsoft Select Licensing Agreement to cover those not under the Campus Agreement).

The Windows Server 2012 User CAL is the responsibility of each department to purchase. Those with the Campus Agreement "Core CAL" are automatically covered for this CAL and ACNS has determined that enough Windows Server user CALs have been purchased through the Microsoft Select Licensing Agreement to cover those not under Campus Agreement.

However, please keep in mind that your department must ensure that you are covered either under Campus Agreement or the Select Agreement for the Windows Server User CAL.

Importantly, you must also understand that if ACNS upgrades the Exchange server infrastructure to a new version of the Windows Server operating system, you will be required to ensure that your Windows Server User CAL is likewise upgraded to the new server version (by one of the following ways: renew your Campus Agreement, you may have purchased Software Assurance for your Windows Server User CALs under the Select Licensing Agreement, or you newly purchase enough Windows Server XXXX (the next version) User CALs to cover your userbase).

Forefront Security for Exchange Server 2010

Forefront Security is a product that runs on the Exchange server infrastructure and is licensed on a per-user basis outside of the Campus Agreement licensing method. ACNS covers the cost of the Forefront Security product, and therefore end-users and departments need not be concerned with the licensing of this piece of Exchange. Forefront is an anti-virus/anti-spam filtering system much like the Trend ScanMail software in use with other Exchange systems on campus.
