Access Voice Mail Options for Shared Mailboxes in OWA

Accessing voice mail options for shared mailboxes in Office 365 requires users to login as the shared mailboxes (ex: demo_helpdesk@colostate.edu) with a password assigned to the shared mailbox. Members of a permissions group with access to a shared mailbox can use OWA to send and receive e-mail but they do not have access to configure voice mail options, such as setting Call Answering Rules or greetings, from OWA. The steps below detail how to access voice mail options for a shared mailbox.

Access Voice Mail Options for Shared Mailboxes in O365

Note: Exchange Resource Coordinators can use the "Update Shared Mailbox Password" tool in available in the Resource Coordinator Tools to set or change the password assigned to a shared mailbox.

  1. Using a web browser, go to https://portal.office.com
  2. Login to the portal using the User Principal Name (UPN) of the O365 shared mailbox:

    Shared Mailbox UPN: demo_helpdesk@colostate.edu
    Password: Password set for the shared mailbox

  3. On the landing page, click the "Mail" link or select "Mail" from the list that appears when you click the grid icon in the top-left corner.
  4. Click the Gear icon (top right) and select "Mail" under the "My app settings" subheading.
  5. From the Options menu on the left, click "General." and note the "Voice Mail" section underneath it.
  6. Expand the "Voice mail" menu.
  7. Using the links available under Voice Mail, you can alter voice mail options including resetting your PIN and recording new greetings.
