Student Exceptions

Currently, only CSU faculty and staff are automatically eligible to have an Exchange mailbox. Likewise, a faculty or staff member is presented with the "Central Exchange for E-Mail and Calendaring" and "Central Exchange for Calendaring Only" options when they click and login to the Change E-mail Address section of eID. Both Exchange options are choices that a student would not see by default. In some instances, a unit or department may have students working with the department that also need an Exchange mailbox, specifically in instances where a student needs his/her own calendar within Exchange.

In such cases, a Resource Coordinator can request a "Student Exception" for the student. Requesting a student exception does not create an Exchange mailbox for the user but it does trigger a setting for that student so that the student should see the "Central Exchange for E-Mail and Calendaring" and "Central Exchange for Calendaring Only" options the next time they login to the Change E-mail Address section of eID. In other words, to complete the process, the request must be made by the resource coordinator and the student must login to eID and choose and Exchange option.

If you remove a request for a Student Exception for a student who as an Exchange mailbox, the student's mailbox will be marked as a mailbox to be removed, which happens after 45 days. During that 45 day grace period, the student can retain their mailbox by having another department request a student exception on their behalf or if the student becomes a full-time employee.

In many cases, "shared" mailboxes can be used as an alternative to requesting individual mailboxes. An example of how a shared mailbox can used as student's "entry point" into Exchange is described in the FAQs section.

Summary of Steps Required to have an Exchange Mailbox Created for a Student

  1. [Resource Coordinator] Login to the Resource Coordinator Tools.
  2. [Resource Coordinator] From the Resource Coordinator Tools, click the "Request Exception" link.
  3. [Resource Coordinator] Search for the person for which an exception will be requested by entering the person's eName, last name, or CSUID and click "Search".
  4. [Resource Coordinator] Select the correct name in the "Users" list. Enter a reason for the exception and click "Request Exception".
  5. [Student] Login to the Change E-mail Address section of eID.
  6. [Student] Select either the "Central Exchange for E-mail and Calendaring" or "Central Exchange for Calendaring Only" option.
    If a student selects the "Central Exchange for E-mail and Calendaring" option, his/her first.last e-mail will be delivered to Exchange.
  7. [Student] Click "Change E-mail" to complete the process.
