Central Exchange Voice Mail Account Types

Exchange Voice Mail Account Types


Voice Mail for People with Central Exchange Mailboxes (Full or Calendar Only)

  • Criteria: People who have a Central Exchange mailbox, which is obtained by selecting either the "Central Exchange for E-mail and Calendaring" or "Central Exchange for Calendar Only" option at https://eid.colostate.edu (via the E-mail Options link)
  • Voice Mail Access Methods: Email client (Outlook, Thunderbird, mobile device), Outlook Web App, or dial 491-5500/enter PIN
  • Voice Mail Account Management (ex: record greeting, set Out of Office greeting): Dial 491-5500/enter PIN
  • Voice Mail Retention: Voice mail is treated like any other e-mail and is not automatically deleted or moved, unless rules are configured to do so.
  • Request Method: Complete the "Order Voice Mail" form on the Telecommunications Service Order Form.
  • Features at a Glance:
  • Voice mail messages delivered as e-mails to the user's inbox with the message included as an audio attachment.
  • Voice mail messages may be accessed over the phone (by dialing 491-5500) or by listening to attachments sent via e-mail
  • Outlook Web App can be used to listen to voice mail or reset the PIN used for telephone access.

Voice Mail Only Mailboxes for People without Central Exchange Mailboxes

  • Criteria: People who do not have a Central Exchange mailbox (i.e. those that have selected the "No Central Exchange" option at https://eid.colostate.edu via the E-mail Options link)
  • Voice Mail Access Methods: Outlook Web App (username: 970491xxxx) or dial 491-5500/enter PIN
  • Voice Mail Account Management (ex: record greeting, set Out of Office greeting): Dial 491-5500/enter PIN
  • Voice Mail Retention: Voice mail messages older than 180 days are automatically removed from the system.
  • Request Method: Complete the "Order Voice Mail" form on the Telecommunications Service Order Form.
  • Notes: When voice mail only accounts are created, the username and password required to login to Outlook Web App are e-mailed to the owner of the voice mail only mailbox. The OWA password may be changed by the owner using the Change Voice Mail Only Password utility.

Voice Mail for Exchange Shared Mailboxes

  • Criteria: Shared mailbox has been created by an Exchange Resource Coordinator
  • Voice Mail Access Methods: Email client (Outlook, Thunderbird, mobile device), Outlook Web App, or dial 491-5500/enter PIN
  • Voice Mail Account Management (ex: record greeting, set Out of Office greeting): Dial 491-5500/enter PIN
  • Voice Mail Retention: Voice mail is treated like any other e-mail and is not automatically deleted or moved, unless rules are configured to do so.
  • Request Method: Complete the "Order Voice Mail" form on the Telecommunications Service Order Form.

Voice Mail Menu Mailboxes, Extension Mailboxes, or Special Purpose Mailboxes

  • Criteria: Voice mail functionality required that cannot be met by any of the above voice mail mailbox types. In these cases a Voice Mail Only mailbox, very similar to what is created for users who do not have a Central Exchange mailbox, will be created.
  • Voice Mail Access Methods: Outlook Web App (username: 970491xxxx) or dial 491-5500/enter PIN
  • Voice Mail Account Management (configure menus, set options, record greetings): Outlook Web App
  • Request Method: Contact CSU Telecommunications at (970)491-2140 or voicemailhelp@colostate.edu.
  • Notes: When voice mail only accounts are created for the purposes of menu or extension mailboxes, the username and password required to login to Outlook Web App is e-mailed to the owner of the voice mail only mailbox. The OWA password may also be changed by the owner using the Change Voice Mail Only Password utility.
  • Features at a Glance:
  • Using Outlook Web App, the owner of the mailbox can record greetings and configure menu options for the menu or extension mailbox.
  • When applicable, voice mail messages left for a mailbox may be accessed over the phone (by dialing 491-5500) or by listening to attachments sent via e-mail to the voice mail only account.
